Front Desk Coordinator

Summary

The Front Desk Coordinator at Red Square Dental & Orthodontics is responsible for managing daily patient flow, delivering excellent customer service, and ensuring smooth front office operations. This role plays a key part in creating a welcoming environment while maintaining efficiency in scheduling, communication, and patient coordination.

Position Requirements:

  • Experience in dental front office or customer service preferred.
  • Strong communication and people skills
  • Fluent in English and Spanish
  • Ability to multitask and manage a busy schedule.
  • Basic computer and scheduling software knowledge
  • Reliable, punctual, and team-oriented

Primary Duties

  • Open the office daily and prepare patient amenities (TV, games, coffee, etc.)
  • Greet and check in patients, ensuring all information is up to date, including insurance verification, treatment plans, pre-med requirements, and payments.
  • Mark patients as ready for clinical staff in a timely manner
  • Answer incoming phone calls promptly and assist patients with scheduling and inquiries
  • Confirm patient appointments:
    • Next-day confirmations shared among team members.
    • One-week prior confirmations assigned to a designated team member.
  • Manage recall system, including routine outreach and filling last-minute openings.
  • Check out patients at the end of visits and schedule follow-up appointments (treatment, 6-month recalls, post-ops)
  • Contact patients to schedule appointments for lab case deliveries.
  • Support Saturday operations and scheduled appointments as needed.
  • Perform other duties as assigned to support daily operations and team objectives.

Coordination & Workflow

  • Maintain an organized and efficient front desk workflow
  • Ensure smooth communication between front office and clinical team
  • Assist in managing the daily schedule to optimize patient flow

Compliance & Standards

  • Follow office policies, OSHA, and CDC guidelines
  • Maintain accurate and up-to-date patient records
  • Always ensure patient confidentiality and professional communication
  • Perform other duties as assigned to support daily operations and team objectives
